How to Configure Automated Out-of-Office Autoresponders in StackCP

Whether you're going on leave, closing for a holiday, or simply want to acknowledge messages automatically outside business hours, an autoresponder sends an automatic reply to anyone who emails a specific mailbox. StackCP supports this both as a feature within your hosting control panel and directly through Stackmail webmail.

Step 1: Access Autoresponder Settings

There are two ways to reach autoresponder settings, and either works:

Via Webmail:

  1. Log in to your mailbox's webmail (Stackmail) — either directly, or via Manage Hosting > Email Accounts > Options > Webmail.
  2. Go to the Settings tab.
  3. Find the autoresponder option.

Via StackCP directly:

  1. Log in to StackCP.
  2. Go to Manage Hosting, then Manage on your package.
  3. Select Autoresponders under the Email section (availability depends on your specific plan's enabled features).

Step 2: Set Up Your Autoresponder

  1. Write your automatic reply message — keep it clear and specific: who's away, when you'll be back, and who to contact for urgent matters in the meantime.
  2. Set the mailbox this autoresponder applies to.
  3. Optionally, choose whether to also forward the email address while the autoresponder is active — useful if you want a colleague to also see incoming messages during your absence, not just have the sender receive an automatic reply.
  4. Save/activate.

Step 3: Understand the Sending Limit

It's worth knowing that an autoresponder only sends once every 8 hours per unique sender. This means if the same person emails you multiple times within that window, they won't receive a repeated automatic reply each time — a deliberate anti-loop and anti-spam measure that also prevents your autoresponder from being seen as sending excessive automated mail.

Step 4: Remember to Turn It Off

Once you're back, return to the same Settings screen (webmail) or Autoresponders section (StackCP) and disable the autoresponder. It's easy to forget this step, resulting in an out-of-date "I'm away until [past date]" message continuing to go out to anyone who emails you.

Writing an Effective Autoresponder Message

A good autoresponder message typically includes:

  • Clear dates — when you're away and when you'll be back, so the sender knows what to expect.
  • An alternative contact, if there's someone who can help with urgent matters in your absence.
  • A brief note on response timing — letting the sender know their message has been received and will be addressed once you're back.

Avoid overly vague messages like "I'm currently unavailable" without a timeframe, since this leaves the sender unsure whether to expect a response at all.

Common Mistakes Beginners Make

  • Forgetting to turn the autoresponder off after returning. Set a calendar reminder for your return date if you're prone to forgetting this.
  • Writing a message with no specific return date, leaving senders uncertain about when to expect a reply.
  • Not considering whether to also forward the mailbox during your absence, if urgent matters need someone else's attention while you're away.
  • Assuming every sender gets a reply every single time they email. The 8-hour-per-sender limit is a normal, expected behaviour, not a malfunction.

Troubleshooting

"My autoresponder isn't sending to everyone who emails me." This is expected if the same sender has emailed within the last 8 hours — the limit prevents repeated automatic replies to the same person in that window.

"I can't find the Autoresponders option in StackCP directly." Availability of this specific icon can depend on your hosting plan configuration — the webmail Settings tab route (Step 1) is available for any mailbox regardless.

"My out-of-office message is still going out after I've returned." Double-check you disabled it via the same location you originally set it up — webmail Settings or the StackCP Autoresponders section, depending on which you used.

A Practical Example for a Small Business

Imagine a small business owner going on a two-week holiday. Rather than leaving customer emails unanswered and unacknowledged for the full period, a well-configured autoresponder on the info@ or support@ mailbox might read: "Thank you for your email. We're currently closed for the holidays and will respond from [return date] onward. For urgent matters, please contact [alternative number or address]." This single message, set up once before leaving, means every customer who emails during that period immediately knows their message was received and roughly when to expect a reply — a meaningfully better experience than silence, at essentially no ongoing effort.
