How to Use StackCP Email Summary Reports
If you manage several mailboxes — or several customer hosting packages as a reseller — checking each one individually for storage usage would be tedious. StackCP's Email Summary (Mailbox Usage) reporting gives you a consolidated view, available at two different levels depending on what you need.
Two Places to Check Mailbox Usage
Account-wide view (all packages): From your My20i home screen, go to Reporting > Mailbox Usage. This shows every mailbox across all your hosting packages in one list, along with their combined resource usage — sortable by Percentage Used or Mailbox Name, making it easy to spot which mailboxes are approaching their limit across your entire account at a glance.
Package-level view (one hosting package): Go to Manage Hosting > Options > Manage > Email Accounts for a specific package. This shows usage for just the mailboxes on that particular package.
Most current figure (single mailbox): For the most up-to-date usage on one specific mailbox, check Options > Webmail for that mailbox — the figure shown in the bottom-left of webmail tends to be more current than the summary views, which update periodically rather than in real time.
Step 1: Check the Account-Wide Summary
- Log in to My20i.
- Go to Reporting, then Mailbox Usage.
- Sort the list by Percentage Used to quickly surface mailboxes closest to their limit, or by Mailbox Name if you're looking for a specific one.
This view is particularly useful if you manage many mailboxes across multiple hosting packages, since it saves you from checking each package individually.
Step 2: Check Usage for a Specific Package
If you only need to review mailboxes on one particular hosting package (for example, one customer's account, if you're a reseller):
- Go to Manage Hosting, then Options > Manage on the relevant package.
- Select Email Accounts.
- Review the usage figures shown alongside each mailbox.
Step 3: Understand Storage Limits and Upgrade Options
Each mailbox has 10GB of storage by default. If a mailbox is approaching this limit:
- You can add 10GB storage blocks as needed.
- Alternatively, move the mailbox to a Premium Mailbox tier (50GB), which is often more cost-effective if you expect ongoing, significant storage needs rather than a one-off increase.
Step 4: For Resellers — Automatic Quota Warning Emails
If you're a hosting reseller, customers can automatically receive quota warning emails as their mailboxes approach their storage limit. You can also configure your own business to be copied (CC'd or BCC'd) on these notifications via Reseller Preferences > Reseller Customisation > Customer Email Options — useful for staying aware of customer mailbox issues proactively, rather than only hearing about it when a customer reports mail bouncing.
Common Mistakes Beginners Make
- Only checking usage after a mailbox is already full and mail starts bouncing. A periodic check (monthly, or automatically via quota warning emails if you're a reseller) catches this before it becomes a problem.
- Relying solely on the summary views for a mailbox you're actively troubleshooting. These update periodically rather than instantly — check the specific mailbox's webmail for the most current figure if precision matters right now.
- Not knowing the difference between the account-wide and package-level views, and checking the wrong one for what you actually need.
Troubleshooting
"A mailbox shows as full in the summary, but I've already deleted a lot of mail." The summary figures update periodically rather than instantly — check the specific mailbox's webmail (bottom-left usage indicator) for the most current figure, and confirm you've also emptied the Trash folder, since deleted mail still counts toward storage until permanently removed.
"I can't find the account-wide Mailbox Usage report." It's located under Reporting from your My20i home screen, separate from any individual hosting package's management area.
"I'm a reseller and want to know before a customer's mailbox fills up, not after." Set up CC/BCC on quota warning emails via Reseller Preferences > Reseller Customisation > Customer Email Options, so you're notified alongside the customer automatically.
Building a Light Monthly Review Habit
Rather than waiting for a quota warning email (or a bounced message) to prompt action, a short monthly habit keeps mailbox storage from becoming a recurring headache:
- Open the account-wide Mailbox Usage report and sort by Percentage Used.
- Note anything above roughly 80% and decide whether to clean up (archive or delete old mail, empty Trash) or upgrade storage proactively.
- If you're a reseller, use this same review as an opportunity to flag storage concerns to specific customers before they experience bounced mail themselves — a proactive heads-up tends to land far better as a support interaction than a reactive "why isn't my email working" complaint.
Why Mailbox Storage Issues Are Worth Taking Seriously
A full mailbox doesn't just inconvenience the account holder — incoming mail to a full mailbox typically bounces back to the sender as undeliverable, meaning genuine business correspondence, customer inquiries, or important notifications can be silently lost without the mailbox owner necessarily realizing anything is wrong until someone mentions they never received a reply. Treating mailbox usage as a metric worth checking periodically, rather than only reacting to complaints, meaningfully reduces this risk.
